Sol Helps is committed to protecting your privacy and handling data transparently and responsibly. This policy explains what information we collect, how it is used, and your rights under applicable privacy laws including the Australian Privacy Act, GDPR, and CCPA.
1. Information We Collect
- Account information: name, email address, company name, and authentication credentials.
- Chat and assistant interactions: questions and generated responses, stored only if chat logging is enabled.
- Experience Intelligence data (optional): page URL, referrer, language/locale, and anonymous session identifiers used for aggregation after opt-in.
- Technical metadata: browser type, device category, and approximate country/region derived from IP.
We do not intentionally collect sensitive personal data unless you choose to provide it.
2. Use of Data
- Operate and improve the Sol Helps platform.
- Provide documentation-based answers and insights.
- Maintain security, account access, and service integrity.
- Comply with legal obligations and enforce our terms.
2.1 Data Processing Roles
For the purposes of data protection laws, Sol Helps acts as a data processor when processing personal data on behalf of customers and as a data controller for account and billing information necessary to operate the service.
We process customer data only in accordance with customer instructions and applicable privacy laws.
3. AI Model Training
Sol Helps does not use customer conversations, uploaded documents, chat logs, or experience intelligence data to train public or proprietary AI models.
Your data is processed solely to provide the service to you and is never used for cross-customer learning, model improvement, or shared datasets.
Human review of customer data occurs only where required for security, legal compliance, or support and is strictly access-controlled.
4. Data Sharing
We do not sell your personal data. We share limited data only with vetted subprocessors strictly necessary to operate the service and under binding confidentiality and data protection obligations.
- OpenAI: used to generate responses via the Assistants API. Submitted content is processed transiently and not used to train models.
- Analytics providers (e.g. Amplitude): used to understand product usage, disabled unless consent is provided.
- Authorities where required by valid legal process.
We maintain a register of subprocessors and assess their security and privacy practices. Customers may request information about current subprocessors at any time.

5. Data Storage & Retention
Data is hosted on secure Amazon Web Services (AWS) infrastructure in the Asia-Pacific region, using encryption in transit and at rest, role-based access controls, and least-privilege access.
Chat logging (opt-in only):
- Free: retained up to 14 days
- Starter: retained up to 60 days
- Growth: retained up to 180 days
- Business: retained up to 2 years
Data breach response: In the event of a confirmed personal data breach affecting customer data, Sol Helps will notify affected customers without undue delay and in accordance with applicable law.
6. Your Rights
- Access, export, or delete your personal data.
- Correct or restrict processing of your data.
- Withdraw consent for analytics or tracking.
Requests can be submitted via our contact form and are processed within 30 days.
7. International Users
Sol Helps operates from Australia. Where personal data is transferred internationally, we rely on appropriate legal safeguards including standard contractual clauses and equivalent protections.

We may update this policy as our practices or legal requirements change. Updates will be posted on this page.
10. User Content Responsibility
You are responsible for ensuring you have the legal right to upload any content. Sol Helps does not proactively review files but will act on valid rights-violation notices.
11. File Upload Limits & Safety
File uploads are limited to 25MB and restricted to supported file types. We validate file extensions but do not perform malware scanning.
12. Children’s Privacy
Sol Helps is not intended for children under 16 and does not knowingly collect their personal data.
